Odoo for car rental companies in Morocco
From a distance, a car rental agency looks like a normal retail business: a catalogue, customers, invoices. In reality its model is the opposite of the one Odoo knows by default.
Odoo can sell an item and remove it from stock. A rental company rents the same vehicle dozens of times, needs to know where it is by the minute, what condition it came back in, when its inspection is due, and what it has earned since purchase.
This article describes what we built for a Moroccan rental agency, and what needs nothing more than configuration.
The problem stock does not solve
In standard Odoo, an item is sold and leaves stock. A rental vehicle never leaves: it cycles between available, reserved, rented, in maintenance, off the road.
This is not a quantity question but a calendar one. A rental company's real question is not "do I have a Clio?" but "do I have a Clio free from the 12th to the 19th, given it is booked on the 20th and due for inspection on the 22nd?".
That calls for an object stock does not provide: a timeline per vehicle, with bookings that cannot overlap.
The pieces we built
The fleet
Each vehicle becomes its own record: registration, model, mileage, insurance and inspection dates, service history, scanned documents.
It is the foundation for everything else. Without a reliable vehicle record, neither bookings nor maintenance hold together.
Bookings
A calendar per vehicle, with availability checked at entry. The agent immediately sees what is free for the requested period, and the system refuses two overlapping rentals.
This is the module that prevents the trade's costliest mistake: promising a vehicle already taken.
The rental agreement
The document binding both parties: duration, included mileage, deposit, condition report on departure and return, authorised driver. It is generated from the booking, with the agency stamp applied automatically.
Maintenance
The deadlines that give no warning — inspection, insurance, road tax, servicing — become alerts attached to the vehicle. A vehicle with an expiring document drops out of availability automatically.
This is where configuration pays off most: an unplanned immobilisation costs a rental, sometimes a customer.
CRM
Regular customers, companies under contract, enquiries that went nowhere. Odoo provides this as standard; it only needs adapting to the trade's vocabulary.
What the website has to add
A rental agency needs two things on the public side, and they must talk to the same system:
A catalogue reflecting reality. Showing an unavailable vehicle produces an enquiry you will have to decline. Connecting the site to the ERP avoids that.
A booking request landing in the right place. A form that ends up in an inbox gets lost. A request that directly creates a booking to confirm inside Odoo does not.

Tracking what each vehicle earns
The question every rental company ends up asking: which vehicle makes money?
Revenue is easy to add up. Costs come from everywhere: purchase or instalments, insurance, servicing, repairs, tyres, fuel, downtime. Attaching each to the vehicle allows a model-by-model comparison of what deserves replacing and what costs more than it returns.
Odoo allows this through analytic accounting: each vehicle gets its account, each expense attaches to it. The work is in entry discipline, not development.
Frequently asked questions
Does Odoo handle overlapping bookings? Not as standard: Odoo reasons in stock quantity, not in a calendar per asset. Availability checking per vehicle and per period is part of what has to be built.
Can a booking website be connected to Odoo? Yes, through Odoo's API. The site queries real availability and creates requests directly in the ERP, with no double entry and no gap between what is shown and what is free.
How are vehicle deadlines handled? Insurance, road tax, inspection and servicing sit on the vehicle record and trigger alerts. A vehicle with an expiring document can be removed from availability automatically.
Can fines and damage be tracked per customer? Yes. Attached to the rental agreement, they make it possible to find which driver was at the wheel on which date, and to re-invoice where appropriate.
